Minutes

Present: Marion Jacobi, President; Mary Farwell, Secretary; Ann Marie Van De Water, Treasurer; Fran Hebert, Library Director; Lisa Gillis, incoming Trustee.

Secretary's Report: Minutes from the April 13, 2004 meeting were approved and filed

Treasurer's Report: Treasurer's report was reviewed

  • AV reported that Bank of NH does not offer an IRS tax filing option. She recommends that we investigate what other Hooksett banks have to offer and will pursue this.
  • AV will provide an estimate of the total wages that will need to be paid by June 30 so that we can more closely monitor the budget for the rest of the fiscal year and make some decisions about expenditures at the June meeting.

Library Director's Report:

  • Circulation report was distributed.
  • Humanities program on May 6th had 21 participants. Upcoming topics include War and Peace in the Middle East (May 13), and Geography of the Middle East with Emphasis on Oil and Water Resources ( May 20)
  • Financial Issues for Women is scheduled for May 18 and May 25 but only two people have registered. Fran will cancel class if there are no more registrations.
  • Various reports are due to the state. AV will complete the financial aspects and MF will research enabling legislation voted on by the Town of Hooksett in past years.
  • The auditors will be in Hooksett from September 7-10.
  • A letter was received from Diane Savoie relative to encumbering funds from this fiscal year. Trustees to review options at the June meeting.

Old Business:

  • HVAC Report- The report from John Karpinski (IES) has just arrived. In light of the favorable result on the HVAC warrant article there was a discussion about appearing before the Town Council and Budget Committee to discuss our options and to assess the level of support for the various options. Further discussion will ensue after Trustees have reviewed the report. The options, as Mr. Karpinski described them during his visit last month, are as follows:
    • OPTION 1
      • Phase 1 - 35 ton refrigeration system for cooling- convert air handling unit ( motors and drives) to handle 13 tons, rather than the 22.5 they are handling now.
      • Phase 2 - Convert all controllers. Install 21 VAV ( variable air boxes). Match up flow stations that measure air in and out from supply side and return side. In essence, we are converting our existing constant volume system to a variable volume system. This system will require constant maintenance.
    • OPTION 2
      • Install a rooftop VAV 20 ton system for the 2nd floor
      • Lower level
        1. Install another VAV rooftop system; need to use a 20 ton rooftop for 15 ton load as there are no 15 ton systems
        2. Retain lower level as constant volume system.

    Option 2 is better for future maintenance and reliability but it all must be done at once. He also recommended that we ask Delta for a list of issues that need to be repaired, ranked by their criticality and the costs associated with each repair.

  • AED- MF has left a message for Kathy Raymond from CMC but has not heard back. MF to follow-up.
  • SNHU Continuum- At this time, there does not appear to be a mechanism for joint ventures..
  • Rear Parking Lot- FH to contact Wes about putting in several more posts.
  • FH is continuing to compile a list of vendors and a calendar of maintenance tasks and when they are normally performed.

New Business:

  • MF will attend the NHLTA conference on May 15th and is planning to attend the Public Relations seminars. MF to inquire about timing of payment of annual dues
  • There was a general discussion of the impact of the default budget and how we are going to handle this. MJ recommended that we ask new Library Director Amy Lapointe for her recommendations after she has had an opportunity to study the budget.
  • A retirement party for Fran will be held June 27th from 2-4PM. Lisa Gillis will research food and beverage options. Fran will ask Patrick Hebert to play the piano at the reception. MF will follow-up with Jeff about options for publicizing the reception on the various email lists. We hope to be able to introduce Amy Lapointe at this gathering.
