- TRUSTEE MINUTES
- December 30, 2006 9 AM
Present: Mary Farwell, Chairperson; Mac Broderick; Barbara
Davis, Treasurer; Tammy Hooker; Mary Leger, Secretary.
Unfinished Business:
- Boiler bids
- The Hooksett Library Board of trustees voted unanimously to
award the bid for the replacement of the leaking boiler at the
Library to A&E Mechanical who will furnish and install one
Buderus G515/08 with a Power Flame burner model J30a-12rm7897
for $21,900. This decision was made after consultation with
Douglas St. Pierre, former Hooksett Town Councilor and John
Karpinski, principal of Integrated Engineered Systems who
performed the engineering work on Phases One and Two of our
HVAC refurbishing. Both consultants recommended the selection
of the A&E bid, noting that the Buderus is a superior
boiler and has inherent engineering designed to prevent thermal
shock which could very likely be the cause of our previous
boiler failures. Attached is the letter from Mr. Karpinski. Mr.
Karpinksi notes that "Technically, this boiler would be best
suited for this installation, based on the past history of the
previous boiler failures."
- The bid from A&E Mechanical is only $40 higher than the
low bidder and the Trustees believe that the Hooksett Library
will be getting a technically superior solution by selecting
the A&E Mechanical bid.
- Scott Campbell of A&E Mechanical in a letter dated
December 29, 2006 states that the lead time on the boiler is
2-4 weeks and the lead time on the burner is 4-6 weeks.
- Mr. Karpinski, in a previous communication stated that the
boiler seems only to leak when cold, so the lead time should
not pose a significant problem. Should a problem occur, renting
a boiler is an option that can be considered.
- Books for Babies
- TH and ML will share the new list of babies to notify
parents of this program. Trustees to be provided with monthly
update of program usage.
- PSNH/electrical problems
- Trustees agreed that HS conversation with John Gimas raised
more questions that need to be addressed. Trustees want Gimas
Electric to visit the building and assess in writing any
potential areas that could be vulnerable to electrical issues.
Trustees to provide HS with further guidance at the Jan 9
meeting.
- Payroll Issues
- BD apprised trustees of latest problem with payroll service
which made a mistake on MG last check. BD in contact with
Payroll Company to correct problem. Trustees concerned that
this is the last payroll with this service and no provision had
been made to check this payroll.
New Business:
- Vacation Policy
- Trustees discussed vacation policy options. BD offered to
create a draft for our review on Jan 9th.
- 2007 Holidays
- MF will check with Town Hall to get a list of the dates of
the 2007 holidays. We will discuss on Jan 9th holiday pay
equity.
- Backup & availability of Quickbooks for Treasurer
- Trustees agreed that we need to create a system that has
availability of Quickbooks file in the library at all times for
the Treasurer- to be discussed further on Jan 9.
- Boiler Alarm-
- Trustees need to know if boiler is alarmed. If boiler
should fail while library is closed, is there currently any
system of notification to an alarm company or anyone else of
the failure?
- Hiring/Staffing
- Trustees agreed that hiring decisions need to be discussed
at a board meeting. Trustees are concerned that amount and
breadth of advertising for open positions may not be sufficient
to attract the most qualified candidates.
